How to Use — Employee Contact Scanning

The Employee Scan uses LinkedIn via Apify to find contacts at your target organizations.
Each scan runs as an individual job — results appear in Active Scan Jobs above as they complete, and contacts are saved to Prospects.

Select organizations to scan
Use the All Organizations table above to check individual rows, or use the filter bar + Select ALL Matching Filters to target a large set.
The new Select top N input lets you quickly select a fixed number (e.g. 10 or 25) from the current filtered view.

Configure your search criteria (this section)
Job Functions — select one or more departments (e.g. Healthcare Services, IT) or leave blank for all departments. Seniority Levels — narrow to specific levels (e.g. Senior / Director, VP) or leave blank for all levels. Max Contacts — cap the number of contacts saved per organization (1–2000). 25 is a good default. Location — optional comma-separated list of states or cities (e.g. Missouri, Texas). Search Query — keyword filter on LinkedIn profiles; multiple words are AND logic. Use OR between terms for OR logic (e.g. Patient OR Nurse). Filter Prompt — optional AI pass to exclude irrelevant contacts after LinkedIn returns results.

Optional: enable the Second Scan (Fallback)
When the first scan returns fewer contacts than the threshold (default: 5), the system automatically re-runs with the Second Scan criteria — typically broader (e.g. fewer job function filters).
This is useful when targeting niche roles that are sparse at smaller organizations.

Launch the scan
Click Scan Selected Organizations for Employees to queue one job per selected organization, or
Scan Organizations with LinkedIn URLs (Choose Quantity) to auto-pick unscanned organizations that already have a LinkedIn URL.
Monitor progress in the Active Scan Jobs section above — each job shows its status, contact count found, and any errors.
Tips
Use Saved Presets (panel above) to save search configurations that worked well and reload them for future batches.
Give each scan a Batch Name — it appears as a filter in Generate Messages so you can target exactly those contacts.
The Scan Count filter in All Organizations helps you find organizations that have never been scanned (0) or ones you've already hit multiple times.
If contacts look off (wrong department, too senior/junior), refine using the Filter Prompt field on the next scan.
A LinkedIn URL is required for Apify scans. Use Research LinkedIn URLs or Find Missing LinkedIn URLs in the table header first.
Configure Contact Scanning
Define the departments (job functions) and job levels (seniority) you want to scan for contacts. Select specific organizations in the table above to scan, or use the batch scan option below to automatically scan unscanned organizations.
Use the Second Scan (Fallback) to automatically run a broader search when the first scan finds too few contacts.

Scope — who does this DNC block apply to?
Bulk Organization Outreach Purge
Paste organization names and let AI expand the name variations. From there you can either
just add them to the DNC list to block future outreach — no search, nothing
existing is touched — or optionally search
every BDR, every workspace, every hypothesis group, the message queue, in-process
HeyReach pushes, and the reserve queue for anything already tied to those organizations,
so you can review and remove it too. Searching is never required to add to the DNC list.
Nothing existing is ever touched until you review and approve the matches. On execution:
approved organizations are deleted from all lists (including hypothesis groups),
contacts are excluded from campaigns (records kept for audit),
and queued / in-process / reserve messages are deleted
(with HeyReach cancellation for already-pushed messages).
Step 1 — Organizations & Scope
Scope — whose outreach should be searched & purged?
This scope is used both for the DNC entries (if you add them)
and for the optional outreach search below. When scoped to a BDR or
Company, only hypothesis-group pools tied to that BDR/Company are searched,
and the shared Unassigned pool is skipped. Choose Everywhere to sweep every
hypothesis pool and the Unassigned pool too. Every match shows its owner so you can uncheck anything.
Step 2 — Review Name Variations
These variations (one per line, editable) are used to match every spelling of each organization —
for the DNC list and/or the outreach search below. Add or remove lines freely.
Option A — Add to DNC List (block future outreach only)
Adds these organizations, with all variations, to the DNC list scoped as chosen in Step 1.
This blocks future message generation. It does not search or touch any
existing organizations, contacts, or messages — no search is required for this step.
Option B — Search & Clean Up Existing Outreach (optional)
Only run this if you also want to find and remove existing organizations,
contacts, and messages tied to these names. This step is entirely optional — skip it if you
just wanted Option A above.
Step 3 — Review & Approve

Manage the organizations tied to each hypothesis group — the list the Full Pipeline scans, one organization at a time.
Pull organizations in from BDRs or workspaces, upload a CSV, paste names, sync from the group's tagged contacts, or let the
AI Organization Finder discover them on LinkedIn (e.g. "all hospitals in Pennsylvania").
Set priorities to control scan order, and label the scans that have happened.
Pull organizations that already exist under a BDR, workspace, or the unassigned pool, and tag them into this hypothesis group.
The organizations stay where they are — this just links them to the group.
Any prior scan history comes in with them (see the Scans column below) — organizations already scanned elsewhere
are automatically queued behind never-scanned organizations once Full Pipeline runs against this group.
